1. What We Collect

When you create an account on BeReadyAI, we collect the following information:

• Account information: your name, email address, professional role, and institutional affiliation (if applicable).
• Session content: transcripts of your practice conversations with AI and AI-generated feedback.
• Usage data: login times, session duration, and practice frequency.

 

We do NOT collect biometric data, genetic data, Social Security numbers, financial information, precise geolocation data, or real patient health information.

 

2. How We Use Your Information

We use your information to:

• Provide and maintain the practice service.
• Generate AI feedback on your conversations.
• Improve service quality, reliability, and performance.
• Communicate with you about your account, updates, and support.

We do NOT sell your data to third parties. We do NOT use your session transcripts to train our own AI models. We do NOT use your data for advertising or marketing to you outside BeReadyAI.

3. AI Provider and Data Sharing

To generate responses and feedback, BeReadyAI sends your session transcripts and professional role to:

• OpenAI (GPT model)
• Google (Dialogflow)

Thrive Digital Health, LLC may add additional AI providers in the future. These providers process your data under data processing agreements that protect your privacy. OpenAI and Google process your data under their respective API data policies, which provide that API data is not used to train AI models.

4. How Long We Keep Your Information

• Session transcripts and AI-generated feedback: retained for 90 days, then permanently deleted.
• Account information: retained while your account is active. Deleted within 30 days of account closure.
• Identifiable usage data: deleted after 90 days. We may retain anonymized, aggregated usage statistics indefinitely.

5. Who We Share Your Information With

We share your information only in these limited circumstances:

• AI providers (OpenAI and Google) to generate responses and feedback.
• Your institutional buyer or employer, if you access through an institutional account.
• Service providers (hosting, analytics, customer support) under confidentiality agreements.
• As required by law, court order, or government request.

6. Your Privacy Rights

You have the right to request access to, correction of, or deletion of your personal data. To submit a request, email [email protected]. We will respond within 30 days.

Residents of California, Virginia, Maryland, Connecticut, and other states with privacy laws may have additional rights. Contact us at [email protected] to learn about your specific rights.

7. Children and Minors

BeReadyAI is intended for users 18 and older. Users ages 16 and 17 may access the service only with explicit institutional supervision and authorization. We do not knowingly collect personal information from children under 16 without institutional authorization. If we learn that we have collected information from a child under 16 without proper authorization, we will delete it promptly.

8. Security

We use industry-standard measures to protect your information, including encryption in transit and at rest, access controls, and regular security assessments. However, no system is completely secure. You are responsible for keeping your account credentials confidential.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notification. Your continued use of BeReadyAI after such notice constitutes your acceptance of the updated policy.
